Media Services Policies and Fines

COVID-19 Update

Media Services will continue loaning portable equipment to Loyola faculty, staff and students during the Fall 2020 semester. Extended loan periods will be accepted on a case-by-case basis.

Media Services COVID-19 Portable Equipment Loan Procedure:

  • Media Services will be providing contactless pickup and dropoff for all portable equipment loans during the Fall 2020 semester. 
  • The pickup and dropoff area will be in the Monroe Library between the main doors and the stairwell. 
  • All portable equipment will be available for pickup on the Media Services Pickup table between 1pm and 4:30pm on Mondays, Wednesdays, and Fridays ONLY. (Note: Any reservation not picked up by 4:30pm will be cancelled.)
  • All portable equipment will be due back for dropoff on the Media Services Dropoff table between 8am and 12pm on Mondays, Wednesdays, and Fridays ONLY. (Note: Any reservation not dropped off by 12pm will begin to accrue fines.)
  • There will be NO portable equipment pickups or returns scheduled on Tuesdays, Thursdays, Saturdays, or Sundays.
  • As usual, you can request portable equipment loans with our Equipment Request Form. Media Services staff will then be in touch to confirm your reservation and inform you of your pickup and return dates.
  • As usual, all reservations must be made at least two business days prior to the pickup date.



  • All equipment is reserved on a first-come, first-served basis.
  • Equipment requests must be made at least two business days prior to equipment check-out.
  • request for equipment does not mean that the equipment is reserved. Media Services will send you a confirmation to your loyno email when your request has been processed or if we have further questions. Only after you receive the confirmation email to your loyno email address is the equipment reserved. 

  • Equipment may be checked out for up to one week. Extended Loan laptops may be checked out for up to two weeks (faculty and staff only).
  • Equipment may be used only by members of the Loyola community (current students, faculty, and staff) for academic purposes.
  • Regarding equipment deliveries, Media Services can only leave equipment in a classroom if the instructor is there. If the instructor is more than 15 minutes late, the equipment will be removed, and will not be delivered again to that class that day.
  • It is expected that equipment will be treated with exceptional care. If equipment is returned to Media Services in faulty condition, the borrower or his/her department will be held responsible for repair or replacement. If the equipment is not returned at all, the borrower will be held responsible for its replacement. 
  • We reserve the right to refuse anyone the right to borrow our equipment.
  • The overdue fines for all equipment are as follows. Replacement fees for damaged or unreturned equipment are determined by the replacement cost of the equipment.

    If all items checked out are not fully returned, Media Services will assess the fine.
